Payments

How do I pay my registration fees?

Direct deposits or bank transfers can be made at any Standard Bank branch.

Payments can also be made via EFT/online banking, cellphone banking as well as at any Standard Bank ATM which accepts cash deposits.

The University account is preloaded as a beneficiary on all major banks. Remember to use 2069 11817 + Delegate Full name only as payment/beneficiary reference.

Once payment is made, please send proof of payment to ngcobon16@ukzn.ac.za.

Please note that ALL transfer costs must be prepaid by the transmitter. Cheques will not be accepted.

 Payments from Non-South African bank accounts take a minimum of two weeks to reflect on the account. Therefore, delegates are advised to make payments in advance to avoid financial clearance delays.

Where do I forward my proof of payment?

Once payment is made to the above banking details, please send proof of payment to ngcobon16@ukzn.ac.za. Forwarding proof of payment to the above email address, ensures that your registration is processed rapidly and your seat is reserved quickly.

How will I know that you have received my payment?

A letter of confirmation / invoice will be sent by email once UKZN has received the fully completed registration form and the related payment.

Please bring this confirmation to the Conference venue.

What is included in the registration fees?

The registration fee for regular delegates includes:

 

Optional:  Post Conference Tour at an added fee. This is a limited-seats tour post the AI conference, taking you to Durban’s historical museums to learn about the rich history of Durban and KwaZulu-Natal.

How can I cancel my registration?

The notification for cancellation must be made in writing and sent to UKZN by email: ailib@ukzn.ac.za.

The notification must include all the relevant information regarding the bank account to which a possible refund may be remitted.

If the written notification of cancellation is received before 16 March 2025, 100% refund will be granted. No refunds will be made for cancellations received after this date.

How do I obtain a letter of invitation?

Individuals requiring an official Letter of Invitation can request one from UKZN. To receive a Letter of Invitation, participants must first register to the symposium and submit payment in full.

The Letter of Invitation does not financially obligate the conference organisers in any way. All expenses incurred in relation to the conference are the sole responsibility of the participant.

How do I obtain a certificate of attendance?

A Certificate of Attendance for regular delegates and students will be sent by email after the Conference and will not be available onsite at the Symposium.

What should I do if I need a visa?

It is the sole responsibility of the participant to take care of his/her visa requirements. Participants who require an entry visa must allow sufficient time for the application procedure. Participants should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. It is recommended to apply for a visa at least 3 months in advance of the congress.

What are the guidelines for the presentation formats?

There are specific guidelines for submitting abstracts for the 5th IFLA AI Symposium 2025:

  • Word Limit: 300–350 words
  • Format: Microsoft Word (.doc or .docx)
  • Font & Spacing: Times New Roman, 12pt, 1.5 line spacing
  • Keywords: Include up to 5 relevant keywords
  • Language: English

The Artificial Intelligence Symposium will take place at the fantastic venue, the Golden Horse Casino Hotel, New England Road, Pietermaritzburg.
